Manage billing and subscriptions

Understand the Billing page, track usage and overages, download invoices, and manage your subscription and billing portal access as an account owner.

Billing overview

Use the Billing page at /billing to see your current plan, track product usage, understand projected charges, and manage your subscription and invoices from a single place.

Only tenant admins or account owners can access the Billing page and manage subscriptions. If you do not see Billing in Settings, ask an admin to update your role.

The Billing page is organized into the following areas:

  • Trial banner (if your account is still in a trial)
  • Current plan and limits
  • Usage cards for each product (conversations, voice, SMS, email)
  • Overage breakdown and projected total
  • Recent invoices with PDF downloads
  • Plan comparison and upgrade/subscribe actions
  • Manage billing portal entry point for cancel/reactivate and payment details

The UI relies on a billing service behind the scenes for subscription status, plans, usage, invoices, and checkout or billing portal links.


Trial status and current plan

Trial banner

When your tenant is in a trial period, a banner appears at the top of the Billing page.

The banner typically shows:

  • Remaining trial days or end date
  • The plan you will move to after the trial (if already selected)
  • A clear Subscribe or Upgrade button to start a paid subscription before the trial ends

Once your trial ends or you convert to a paid plan, this banner disappears.

Current plan and limits

Below the trial banner, you see your current plan summary. This section includes:

  • Plan name (for example, Starter, Growth, Enterprise)
  • Billing interval (for example, monthly, annually)
  • Base price (amount per billing period, excluding tax)
  • Included usage limits per billing period for:
    • Conversations
    • Voice minutes or calls
    • SMS messages
    • Email messages

This section is the reference point for how many units of each product you can consume before overages apply.


Usage and overage breakdown

The Billing page shows detailed usage for the current billing period, with a breakdown by product and clear indicators when you approach or exceed your plan limits.

Usage cards

Usage is grouped into separate cards, one per channel:

  • Conversations
  • Voice
  • SMS
  • Email

Each card typically includes:

  • Current period usage (for example, 7,500 / 10,000 conversations)
  • A progress indicator that fills as usage increases
  • Overage usage if you go beyond your included limit
  • A timestamp or note indicating which billing period the totals apply to

The Billing page keeps usage aligned with your current subscription period rather than calendar dates.

Overage and projected total

Below or alongside the usage cards, the Billing page shows a cost breakdown for the current billing period:

  • Base plan charge for your current plan
  • Overage amounts by product (for example, extra conversations, over-limit SMS)
  • Add-ons if applicable (for example, extra seats or additional features)
  • A projected total for the period, combining base, overages, and add-ons

This projection helps you estimate your upcoming invoice based on usage so far. Actual charges may vary slightly depending on proration, adjustments, or local taxes applied by the billing provider.


View usage details

Use the usage area of the Billing page to quickly understand how close you are to plan limits and where overages may occur.

Open the Billing page

  • Go to your application Settings.
  • Select Billing or navigate directly to /billing.

Review overall plan usage

  • Find the Current plan section at the top.
  • Confirm your billing period and included usage limits for each product.

Inspect per-product usage cards

  • Scroll to the Usage section with cards for conversations, voice, SMS, and email.
  • For each card, check:
    • Current period usage versus limit
    • Whether usage is within the limit, near the limit, or over the limit
    • Any labels or colors indicating overage

Check overage breakdown and projected total

  • Look for the Cost breakdown area.
  • Review:
    • Base plan amount
    • Overage totals per product
    • Any add-on charges
    • The projected total for the current period

When everything is working, the Billing page updates usage throughout the billing period, and the projected total reflects what you are likely to be charged on the next invoice.


Invoices and downloads

The lower part of the Billing page lists your recent invoices for the tenant.

Each invoice row typically includes:

  • Issue date (start or end of billing period)
  • Status (for example, paid, upcoming, past due)
  • Total amount
  • A Download button or link to get the invoice PDF

Download a past invoice

Open the invoices list

  • From /billing, scroll down to the Invoices section.
  • Confirm the table has at least one invoice row.

Find the invoice you need

  • Use the date and amount columns to locate the relevant invoice.
  • Check the status (for example, paid) if you are reconciling payments.

Download the invoice PDF

  • Click the Download action for the invoice row.
  • Your browser downloads the PDF from the billing service.
  • Open the file to view line items, billing details, and tax where applicable.

If the billing service has no invoices yet, the Billing page shows a clear no invoices message instead of an empty table. This is common for new tenants that have not completed a full billing cycle.


Subscribe, upgrade, or change plans

The Billing page lets you start a paid subscription from trial, upgrade to a higher plan, or adjust your plan when usage changes.

The application uses a billing service and hosted checkout or billing portal to securely collect payment details and confirm changes.

Start a subscription from trial

Confirm trial status

  • Go to /billing.
  • Look for the Trial banner at the top, including trial days remaining and the plan you will move to.

Review available plans

  • Scroll down to the Plans or Plan comparison section.
  • Compare plan names, included limits, and base prices.

Choose a plan and start checkout

  • Click Subscribe, Upgrade, or a similar button on your chosen plan.
  • The app redirects to a hosted checkout experience provided by the billing service.

Complete payment details

  • Enter your payment information and billing details.
  • Confirm the subscription in the checkout page.
  • After the checkout completes, you are redirected back to the application, and the Current plan section updates to show your new plan.

Upgrade or downgrade your plan

After you are on a paid plan, you can move between plans from the same Plan comparison section.

Open the plan comparison

  • From /billing, scroll to the Plans or Compare plans section.
  • Review how each plan changes your included limits.

Select a new plan

  • Click Upgrade on a higher-tier plan to gain more capacity or features.
  • Click a lower plan if you want to reduce included usage and base price.
  • The app opens a billing portal or plan change flow with your billing provider.

Confirm plan change

  • Follow the prompts in the hosted billing experience.
  • Confirm the plan change and any proration details presented by the billing provider.
  • After completion, the Current plan and usage limits on /billing reflect the updated plan.

Actual proration, partial-period credits, and tax handling are managed by the underlying billing provider and may vary by region.


Manage billing portal, cancel, and reactivate

Some actions, such as updating payment methods or canceling a subscription, happen inside a hosted billing portal.

From the Billing page, you typically see a button such as Manage billing or Open billing portal.

Open the billing portal

Locate the billing portal button

  • Go to /billing.
  • Find the Manage billing or Open billing portal button near the Current plan section.

Launch the portal

  • Click the button to open the hosted billing portal in a new tab or window.
  • The portal is provided by the billing service and pre-loaded with your tenant's subscription.

Update payment and billing details

  • Inside the portal, you can typically:
    • Update payment methods
    • Change billing contact details
    • View full billing history
  • Save changes in the portal. Updates sync back to the application via the billing service.

Cancel or reactivate your subscription

Start from the billing portal

  • Open the billing portal from /billing as described above.
  • Navigate to the Subscription section in the portal.

Cancel your subscription

  • Choose the Cancel subscription or End plan option in the billing portal.
  • Review any details about when access will end.
  • Confirm the cancellation.
  • The Billing page updates to show your subscription as canceled or scheduled to cancel at period end.

Reactivate if available

  • If the billing portal presents a Resume or Reactivate option:
    • Select it to continue your subscription.
    • Confirm the change.
  • After reactivation, the Current plan section on /billing shows an active subscription again.

Options for immediate cancellation, end-of-period cancellation, and reactivation depend on how your tenant's billing is configured in the billing provider.


Loading, errors, and empty states

The Billing page calls the billing service for several pieces of information: subscription, usage for the current period, invoices, and available plans. The UI accounts for temporary loading or missing data.

Loading state

When you first open /billing or refresh the page:

  • A loading skeleton or placeholders show where plan, usage, and invoice data will appear.
  • After the billing service responds, these skeletons are replaced by actual values.

If loading takes longer than expected, verify network connectivity or try again. Persistent loading problems may indicate an issue with the billing service integration.

No invoices

If your tenant has never been billed or is still in trial:

  • The Invoices section shows a no invoices yet message.
  • The invoice table and Download buttons remain hidden until the first invoice is generated.

General billing issues

If you see unexpected gaps in data, such as a missing current plan or usage cards not updating, confirm:

  • You are signed in as a tenant admin or account owner.
  • Your subscription is active in the billing portal.
  • The time range is within the current billing period.

Contact support if Billing continues to show incomplete or inconsistent information even after refreshing and confirming your subscription in the billing portal.
